Export Control Forms

NEW! Shipping or hand carrying Mason-owned laptops or equipment to China, Russia, or Venezuela now require that the proper documentation be filed with the Federal government in advance, by our office.  In addition to completing the Mason Laptop Export Certification Form (or the Non-Laptop Equipment Certification), travelers must complete and submit the AES Federal Filing Request Form if traveling to one of these countries.

Mason-owned laptops generally cannot be taken to countries subject to comprehensive U.S. economic sanctions – such as Iran, Syria, North Korea, and the Crimea, Donetsk (DNR), and Luhansk (LNR) regions of Ukraine – without advance U.S. government permission (obtaining such permission cannot be guaranteed, and may take significant time).  Mason-owned laptops can now be taken on Mason business trips to Cuba, but this also requires that Mason file the export with the U.S. Government.  Travelers will need to complete the AES Federal Filing Request Form in addition to the Mason Laptop Export Certification Form.  Contact Melissa Perez or export@gmu.edu for more information.

  • Used for documenting Mason’s compliance with federal regulations, and is for use in connection with international business when you are traveling with your Mason-owned laptop.

  • May only be used by those who have completed export control basics training. (If you have not completed export control basics training and would like to do so, please contact us for assistance)

  • If you are comfortable making the export certifications, complete the form and email it to export@gmu.edu.

  • If you are not comfortable making the certification, please contact us at export@gmu.edu (or 703-993-5522). We will be happy to consult with you to discuss your proposed travel and any questions you may have concerning whether authorizations are necessary for exporting information or programs currently loaded on your laptop.

  • Mason has a small number of laptops available for Mason researchers traveling abroad for short durations. These laptops have standard software and no restricted data, and both Dell and Mac options are available.

  • Priority assignment will be first to faculty with demonstrated security needs (researchers who have a TCP or are traveling to a high risk destination, etc.) second, to researchers in the order in which their request is received.

    ** We do our best to accommodate last minute requests, but these machines need to be configured for individual researchers, so please send us your form when you make your flight reservations, if not before **

  • To use one of these laptops for an upcoming trip, please download the form, and complete the portion marked. Send the signed form to export@gmu.edu to reserve your machine. You may use a digital signature, or print the form, sign it manually, and send us a scanned copy (or legible photo). We will add the laptop’s identifying information and be in touch by email to coordinate delivery with you
